WAREHOUSE RECEIPTS LIST Window
General Description

The window Warehouse Receipts List is a module merely informational that shows the complete history of all inbound documents that have been generated in the system. Unlike other document windows, here new receipts cannot be created nor edit the existing ones; its function is exclusively to consult, print and analyze the receipts already finalized.
This window works as a log book where all the entries of merchandise into the inventory are documented, regardless of their origin.
What is a Warehouse Receipt?
A Warehouse Receipt is the document that formalizes the physical entry of products into the inventory. This document is never created in isolation, but is generated automatically as a consequence of completing another process in the system:
When a Purchase Order is received
When finishing the reception process in the Purchase Orders window, the system automatically generates the corresponding Warehouse Receipt.
When a Production Order is executed
As the product is being manufactured in the Production window, the system generates the receipt of the finished product into inventory.
When a Transfer is received
When confirming the receipt of merchandise coming from another warehouse in the Receipts by Transfer window, the receipt document is generated.
When a Reinstatement is processed
When returning a sold product, the system generates the corresponding receipt to reincorporate the merchandise into inventory.
In all these cases, the actual process is executed in the corresponding window (Purchasing, Production, Transfers, Reinstatements), and the Warehouse Receipt appears automatically in this list as the final record of the completed process.
Window Structure
The window follows the standard pattern of all document list windows in Kardex Tauro:
Upper Zone - Search Box
Text box to search receipts by typing any data: document number, receipt origin, product, date, or any information contained in the documents. The search is performed in real time.
Upper Central Zone - Master Grid
Shows the list of all warehouse receipts with their main headers: document number, origin type (Purchase Order, Production, Transfer, etc.), date, total, and status.
Lower Central Zone - Detail Grid
When selecting a receipt in the upper list, this area shows the products that were received, with their code, name, received quantity, value, and other detail information.
Lower Zone - Action Button
A single button available: Print Receipt.
Print Receipt Button
This is the only action button at the bottom of the window. It allows generating the physical document of the selected warehouse receipt.
Features:
- Generates a formal report of the receipt with all its details.
- Includes information from the source document (Purchase Order, Production, etc.).
- Shows the complete detail of the received products.
- Useful for physical filing, audits, or documentary support.
Permission requirement:
To use this button, the user must have assigned the Printing Permission. Without this permission, the function will not be available even if the user can see the window.
Context Menu - Upper List
When right-clicking on any receipt in the upper list, a menu with the following options is displayed:
Export to Excel
Generates an Excel file with the visible receipts, respecting the applied filters and the column configuration. Opens a dialog to select the file location.
View Report
Shows the listed receipts in a professional report format, ready for review or export to PDF.
Print Warehouse Receipt
Generates the physical document of the selected receipt, equivalent to the function of the bottom button.
Filters
Allows applying advanced filtering criteria: by origin type (purchase, production, transfer), by greater/lesser date, by value, by supplier or origin warehouse. The filters can be combined to refine the search.
Remove Filters
Restores the complete view by removing all applied filters, showing all the system's receipts again.
Configure Columns
Customizes which columns are shown in the master grid and in the detail grid. It also allows you to adjust the column width. The system remembers this configuration when you close and reopen the window.
Detail Context Menu
When right-clicking on the document details in the lower grid, a menu with the following options is displayed:
Export to Excel
Exports the detail of the selected receipt to an Excel file.
View Report
Shows the detail in report format.
Print Warehouse Receipt
Prints the selected receipt.
Filters
Applies specific filters on the receipt detail.
Remove Filters
Removes the filters applied to the detail.
Configure Columns
Customizes the visible columns in the detail grid.
Important Window Behavior
Only shows finalized documents
All the documents that appear in this window are completely finished. No in-process, pending, or draft receipts will be found. If a receipt is not finalized in its source window (for example, a Purchase Order that has not yet been received), it will not appear in this list.
Does not allow creating receipts
There is no "New Receipt" button in this window. Receipts are generated automatically when completing the processes in their corresponding windows:
- Receive a Purchase Order → Purchasing Window
- Finish a Production Order → Production Window
- Receive a Transfer → Transfers Window
- Process a Reinstatement → Reinstatements Window
Requires source document
A Warehouse Receipt must always have a document that justifies it. "Loose" receipts cannot be created without a process that originates them. This guarantees the complete traceability of every entry into inventory.
Link with the Kardex
Each receipt registered in this window automatically generates a movement in the Kardex, updating the product's stock on hand in the corresponding cost center.
Practical Use of the Window
This window is especially useful for:
Receipt audit
Verify that all expected receipts have been correctly registered in the system.
Reconciliation with physical stock
Compare the registered receipts with the merchandise that has physically arrived at the warehouse.
Historical analysis
Review the entry history by period, supplier, origin type, or product.
Documentary support
Print the receipts for physical filing or to present in audits.
Process tracking
Confirm that the Purchase Orders, Production Orders, or Transfers were completed correctly by generating their corresponding receipts.
Relationship with Other Windows
Purchase Orders Window
When a PO is received, the Warehouse Receipt is generated. You can view the receipt here or check the original PO in the Purchasing window.
Production Orders Window
When completing a production order, the receipt of the finished product is generated. The detail shows which raw materials were consumed and which product was received.
Transfer Receipts Window
When confirming the receipt of a transfer, the receipt is generated. The document shows the origin warehouse and the received products.
Kardex Window
Each receipt in this window has its counterpart in the Kardex as an entry movement. You can use the Kardex to see the accounting detail and the complete movement history.
Inventory Window
The receipts registered here automatically update the stock on hand in Inventory. You can verify the impact by reviewing the product's current stock on hand.
Usage Recommendations
Use this window to view the complete history
It is the ideal place to have a consolidated view of all entries into inventory, regardless of their origin.
Apply filters for specific analyses
If you need to see only the receipts from a period, a supplier, or a specific type, use the filters to focus on what is relevant.
Print for documentary support
Keep physical files of the most important receipts as backup and support for audits.
Verify traceability
If you have doubts about a receipt, use the information from the source document to go to the corresponding window and see the complete process.
Customize your view
Configure the columns that best adapt to your query and analysis needs.
Do not try to create receipts here
Remember that this window is informational only. If you need to receive merchandise, you must do it from the window of the corresponding process (Purchasing, Production, Transfers, etc.).
