KARDEX WINDOW (WAREHOUSE MODULE)

GENERAL DESCRIPTION: WHAT IS THE KARDEX?

The Kardex is the general ledger, the audit history, and the "flight log" of your inventory. It is a chronological, detailed, and immutable record of every movement (entry or exit) that affects the stock on hand of a specific product in a warehouse.

While the window of Inventory shows you the "current state" (a snapshot of how much there is today), the Kardex shows you the "complete movie" (how it came to have that quantity, what entries it had, what exits it suffered, to whom it was sold, from whom it was bought, and on what dates).

Key Feature: The Kardex grid is read-only. No historical movement can be deleted or edited directly. This guarantees the accounting integrity and absolute traceability of the merchandise.

ACCESS METHODS

You can open the Kardex window in two ways:

1. From the Main Menu: Enter the Warehouse Module and click the button Kardex. The window will open blank, ready for you to search for a product.
2. From the Inventory (Direct Access): In the Inventory window, right-click on any product and select "View Kardex" in the context menu. The system will open the Kardex window showing immediately the history of that specific product.

WINDOW STRUCTURE

Upper Zone (Identification and Quick Access)

In the upper left part is the Product Search Box. When typing or selecting a product, the system displays its history.

Next to and below the search box, key information about the selected product in the current warehouse is shown:

• Product name.
• Current stock on hand: Total quantity available at this moment.
• Minimum stock: The restocking threshold configured for the product.

Top Action Buttons (Right):

Next to the search box you will find three buttons that allow you to jump to complementary information about the selected product:

• Uses: Opens the commercial analysis window that shows which third parties (customers, suppliers, employees) have interacted with this product and in what quantities.
• Kits: If the product is of the type Kit/Combo or Production Line, this button displays the "recipe" or list of subcomponents that make it up.
• Location: Shows the exact physical coordinates (Warehouse, Row, Column, Level) where the product is stored in the current cost center.

2. Central Zone (The Kardex Grid)

It is the heart of the window. It presents a table with the movement history of the selected product. The columns that compose it are:

How are the movements in this grid generated?

The vast majority of the movements you will see in this grid are generated automatically are generated when operating in other windows of the program. You do not type here; the system records for you:

• When making a Sales Invoice →→ An Outbound is generated in the Kardex.
• When receiving a Purchase Order →→ An Inbound is generated in the Kardex.
• When making an Internal Transfer →→ An Outbound in the origin warehouse and an Inbound in the destination warehouse.
• When recording a Shrinkage →→ An Outbound.
• When executing a Production Order →→ Are generated Outbound entries of raw materials and Inbound entries of the finished product.

Lower Zone (Adjustment and Query Tools)

In the lower left part of the window you will find three fundamental buttons for direct inventory management:

• Plus Kardex Button (+): Allows performing manual receipts of stock on hand. It is the tool used, for example, to load the Initial Inventory when implementing the system, or to correct shortages found in a physical count.
• Minus Kardex Button (-): Allows performing manual issues of stock on hand. It is used to adjust the inventory when unregistered damaged merchandise, thefts, or surpluses that must be cleared are found.
• View Serial Numbers Button: If the selected product has serial control configured (serial numbers or lots), this button opens a window that shows you exactly which which are the specific serial numbers that are physically in the warehouse at this moment.

IMPORTANT CONSIDERATIONS AND SECURITY

The Rule of Immutability

As mentioned at the beginning, there is no "Delete" or "Edit" button on the Kardex grid records. If an error was made in a sale, a purchase, or a transfer, the error is not erased from the Kardex. The correct way to correct a historical error is by generating the inverse document (e.g., a Reinstatement if it was sold wrong, or a Return if it was bought wrong) or by using the manual adjustment buttons (Plus/Minus Kardex) to reconcile the physical stock.

Permissions System

Access to the Kardex window and its functions is strictly controlled by the user permissions system:

• View Kardex: Allows the user to open the window and consult the history (read-only).
• Kardex Plus: Allows the user to execute the manual receipts window. This permission must be granted with extreme caution, generally only to administrators or warehouse managers, since it alters the inventory without a supporting commercial document.
• Kardex Minus: Allows the user to execute the manual issues window. Like the previous one, it is a critical permission that must be highly restricted to avoid unjustified losses or fraud.

Filters and Search

Although the window loads the history of the selected product, you can use the upper search box to change products quickly without having to close and reopen the window. The search box responds in real time as you type the code or name of the item.

EXECUTIVE SUMMARY

The window Kardex is Kardex Tauro's tool of choice for auditing and traceability. It allows you to answer questions such as: When did this product arrive? At what cost? To whom was the specific unit I have in my hand sold? Why does my physical inventory not match the system?

While the other windows of the Inbound and Outbound module generate the movements automatically and commercially, the Kardex is the silent and immutable witness that guarantees that every unit of merchandise in your company is duly accounted for and traced from its origin to its final destination.
