WAREHOUSE Module (Navigation Menu)


GENERAL DESCRIPTION

The Warehouse Module in Kardex Tauro works exclusively as a navigation menu or central control panel. Its main purpose is to serve as an access point (hub) from which the user can go to the three fundamental tools for product, stock on hand, and classification management.

This window does not contain operations or direct action buttons on the inventory; instead, it presents a directory with the available options. The detailed explanation of the processes, buttons, and functionalities of each tool is found in the specific documentation of each window.

The module groups the three pillars of inventory control:

  1. Inventory: Active management and current status of products.
  2. Kardex: History, movement auditing, and initial inventory adjustments.
  3. Groups: Classification and hierarchical organization of merchandise.

MODULE ACCESS

The Warehouse Module is permanently available in the program's main interface.

Access Path:

When clicking the button Warehouse from the side menu, the panel with the three navigation options available to the user is displayed.


WAREHOUSE MENU OPTIONS

Below is a summary of each option available in this menu.

Option: INVENTORY

Purpose: It is the active management tool. It allows viewing the current status of the merchandise, creating and editing products, consulting stock on hand by warehouse, managing serial numbers, configuring kits, and generating operational reports.

  • When to use it: For the day-to-day of the warehouse, stock queries, creation of new items, label printing, and stock on hand analysis.

Option: KARDEX

Purpose: It is the audit and traceability ledger of the system. It records automatically, chronologically, and immutably every movement that affects stock on hand (purchases, sales, consumptions, transfers).

  • Special Functionality (Initial Inventory): In addition to historical consultation, from the Kardex window it is possible to perform Receipts and Issues of merchandise through the Initial Inventory method. This function is vital for the initial loading of balances when implementing the system or when performing massive corrections of opening balances.
  • When to use it: For audits, discrepancy investigation, accounting support, and initial balance loading.

Option: GROUPS

Purpose: It is the organization and cataloging tool. It allows creating, editing, and managing the hierarchical structure of groups and subgroups with which the inventory merchandise is classified.

  • When to use it: During the initial configuration of the system, when adding new business lines, or when the product catalog needs to be restructured to improve reports and search.

SECURITY AND PERMISSIONS SYSTEM

Like all the windows of Kardex Tauro, access to the options of the Warehouse Module is protected by the user permissions system.

  • Independent Permissions: Access to Inventory, Kardex and Groups is controlled through individual permissions.
  • Dynamic Visibility: If a user does not have the permission for a specific window active (for example, "View Kardex Window"), that option will not appear in their Warehouse menu or, when trying to open it, the system will show an informative message denying access.
  • No System Errors: The permission restriction is preventive and does not generate failures or technical errors in the program; it simply limits the user's navigation to the areas authorized by the administrator.

NAVIGATION RECOMMENDATIONS

To maintain an efficient and secure workflow within the Warehouse Module, it is suggested to:

  1. Identify your objective before navigating:
    • Need to see how much there is today? → Go to Inventory.
    • Do you need to know what happened yesterday or load opening balances? → Go to Kardex.
    • Need to organize the catalog? → Go to Groups.
  2. Consult the contextual help: If when entering one of the sub-windows you have doubts about a specific button or process, open the help manual for that particular window to obtain precise instructions.
  3. Respect the configuration hierarchy: It is recommended to first configure the Groups, then create the products in the Inventory and finally use the Kardex to audit the resulting movements.
  4. Use of Initial Inventory: If you are going to perform a massive loading of balances when starting operations in a new warehouse or when migrating from another software, use the option of Initial Inventory from the Kardex and consult its specific guide to avoid accounting discrepancies.
