PRODUCTION ORDERS Window


General Description

The window Production Orders is the central module where the internal manufacturing of products is planned, executed and controlled. It follows the standard layout of the document list windows in Kardex Tauro, but with a very important distinctive feature: its detail list is switchable, which means that it can dynamically switch between three different views to show different aspects of the selected production order.

This window not only allows creating and managing production orders, but also centralizes the entire production process: from planning what is going to be made, through the consumption of raw materials, to the receipt of the finished product into inventory.


What is a Production Order?

A Production Order is the document through which the company plans and executes the internal manufacturing of products from raw materials and components. It represents the process through which inputs are transformed into finished products within the organization itself.

Key features:

  • Only products that are marked in inventory as type Production Line.
  • Allows partial receipts of the manufactured product as production progresses.
  • Automatically links the consumption of raw materials with the specific production order.
  • Generates records both in the Outbound module (consumptions) and in the Inbound module (warehouse receipts).

Window Structure

The window has a particular structure with four clearly differentiated zones:

Upper Zone - Search Box

Text box to search production orders by typing any data: document number, product to be made, status, date, or any information contained in the documents. The search is performed in real time.

Upper Central Zone - Master Grid

Shows the list of all production orders created in the system, with their main headers: document number, product to be made, planned quantity, date, status and other relevant data.

Central Strip - Production Control Buttons


This is the distinctive zone of the window. It contains five buttons organized in two groups that control the display and execution of the production process:

View buttons (left):

  • Products: Shows the products that were ordered to be made.
  • Consumptions: Shows the warehouse items that have gone out for that production order.
  • Receipts: Shows the times merchandise has been received as a product of that production order.

Execution buttons (right):

  • Consume: Opens the window to record a warehouse consumption related to the production order.
  • Receive Production: Opens the window to record partial receipts of the manufactured product.

Lower Central Zone - Switchable Detail Grid

This is the switchable list mentioned earlier. Depending on the display button that has been pressed in the central strip, this zone will show completely different information:

When the Products button is pressed:

The list shows the products that were ordered to be made in the selected production order. It is the production plan view.

When the Consumptions button is pressed:

The list shows all the products that have been consumed from the warehouse for that specific production order. It allows you to see which raw materials have been used and in what quantities.

When the Receipts button is pressed:

The list shows the different times merchandise has been received as a product of that production order. Since partial receipts can be made as the product is being made, all the accumulated receipts are shown here.

Bottom Area - Action Buttons

Three main buttons that control the operations on production orders:

  • New Production: Creates a new production order.
  • View Production: Opens the selected production order in query mode.
  • Delete: Removes the production order from the system.

The Switchable Detail List

This is the most distinctive feature of the Production Orders window. Unlike other windows where the lower list always shows the document items, here the list changes its content according to the display button that has been pressed.

Operation:

When selecting a production order in the upper list and pressing one of the three display buttons (Products, Consumptions, Receipts), the lower list updates automatically to show the corresponding information.

Operational advantage:

This functionality allows having a complete view of the production process from a single window, without the need to navigate between different modules. In a single place you can see:

  • What was planned to be produced.
  • What raw materials were consumed.
  • Which finished product has been received into inventory.

Practical example:

If you select Production Order #001 to make 100 loaves of bread:

  • Button Products: Shows "100 loaves" as planned.
  • Button Consumptions: Shows "50 kg of flour, 20 liters of water, 2 kg of yeast" as what has been consumed so far.
  • Button Receipts: Shows "First receipt: 60 loaves, Second receipt: 40 loaves" if partial receipts have been made.

Execution Buttons in the Central Band

Consume Button

This button opens the window to create a warehouse consumption related specifically to the selected production order.

Difference from a normal consumption:

In a normal warehouse consumption (from the Outbound module), a third party (person or vehicle) that receives the consumption is selected. In this case, when a consumption is made destined for a production order, the consumption does not go to a third party, but instead remains directly related to the production order.

Operation:

When clicking "Consume", the warehouse consumption window opens with the particularity that the destination is the selected production order. The products that are consumed will be recorded as raw materials used in that specific production.

Integration with other modules:

The consumptions made from this window will also be visible in the module of Outbound → Consumptions, but here they are grouped and related within the corresponding production order, which facilitates the control and traceability of the production process.

Receive Production Button

This button opens the window to make partial warehouse receipts of the product being produced.

Operation:

When clicking "Receive Production", the warehouse receipt window opens, where you can record the quantity of finished product that has been made so far. It is not necessary to wait until all production is finished to receive the product; partial receipts can be made as the process progresses.

Important restriction:

Only the product that was ordered to be made in the selected production order can be received, and no more units than were originally planned can be received.

Integration with other modules:

The production receipts made from this window will also appear in the module of Inbound → Warehouse Receipts, but it is here that the receipt of the manufactured product is executed, maintaining the relationship with the production order.


Lower Action Buttons

New Production Button

Creates a new production order from scratch. When clicking, the form opens to select the product to be made (it must be of type Production Line), define the planned quantity and set the production details.

Important restriction:

Only products that have been marked in inventory as products of type Production Line. If you try to create a production order for a product of type Normal, Kit or Service, the system will not allow it.

View Production Button

Opens the selected production order in query mode (read-only), allowing you to review all its details without the possibility of modifying it. Productions in different states can be viewed: open, closed or deleted.

Behavior by status:

  • Open productions: They can be viewed in detail, but not edited from this view.
  • Closed productions: They can be consulted as a historical record.
  • Deleted productions: They can be viewed for auditing, but they cannot be restored.

Delete Button

Removes the production order from the system. This button has intelligent automatic activation behavior.

Automatic behavior:

The button is automatically enabled and disabled according to the status of the selected production order. The program automatically prevents making mistakes such as:

  • A production that is already closed or finished cannot be deleted.
  • A production that already has registered consumptions or receipts cannot be deleted.
  • Only productions that are open and in the process of being made, with no associated movements, can be deleted.

This automatic validation prevents the accidental deletion of documents that have already generated movements in the system.


Typical Workflow

Plan production

The need to manufacture a product is identified and the production order is created with the planned quantity.

Consume raw materials

As production progresses, "Consume" is clicked to record the raw materials that are being used. Each consumption remains related to the production order.

Verify consumptions

The "Consumptions" button in the central strip can be pressed to see in the lower list all the raw materials that have been consumed so far for that production.

Enter finished product

As the product is being made, "Receive Production" is clicked to partially receive the finished product into inventory. It is not necessary to wait until all production is finished.

Verify receipts

The "Receipts" button in the central strip can be pressed to see in the lower list all the times product from that production order has been received.

Close production

Once all production is completed (all consumptions made and all product received), the production order is closed as a historical record.


Relationship with Other Modules

Outbound Module - Consumptions

The consumptions made from this window also appear in the Outbound module → Consumptions. The difference is that here they are grouped and related within the specific production order, whereas in the Consumptions module they appear as individual documents.

Inbound Module - Warehouse Receipts

The production receipts made from this window also appear in the Inbound module → Warehouse Receipts. Here they are related to the production order, whereas in Warehouse Receipts they appear as independent receipt documents.

Inventory Module

Consumptions decrease the stock on hand of raw materials in inventory. Receipts increase the stock on hand of the finished product. Everything is updated automatically.

Kardex Module

Each consumption and each receipt generates movements in the Kardex, maintaining complete traceability of the production process.


Usage Recommendations

Use the switchable list to have a complete view

Take advantage of the three display buttons (Products, Consumptions, Receipts) to have a complete view of the production status in a single window.

Make consumptions in a timely manner

Record the raw material consumptions as they are being used in production, not at the end of the process. This keeps inventory up to date.

Take advantage of partial receipts

Do not wait until all production is finished to receive the product. Make partial receipts as it is being made so that the product is available for sales or transfers.

Verify before closing

Before considering a production as finished, verify that all consumptions are recorded and that the entire planned quantity has been received.

Use the View Production button for auditing

Consult closed productions to analyze costs, yields and efficiency of previous production processes.

Respect the system restrictions

The Delete button is automatically protected to prevent errors. If you cannot delete a production, it is because it already has associated movements that prevent it.

Only products of type Production Line

Remember that you can only create production orders for products configured as type Production Line in inventory. If you need to manufacture a new product, you must first configure it correctly in inventory.

Coordinate with other modules

Although this window centralizes the production process, the movements also appear in the Outbound (Consumptions) and Inbound (Warehouse Receipts) modules. Use this integration to have complete traceability.
